How we automated real estate deal underwriting — from broker email to investment decision in minutes
The firm now processes every broker email automatically — no deal sits unread, no analyst has to manually calculate cap rates or cross-check buy-box criteria, and brokers get a reply within minutes instead of days.

Real estate acquisition teams receive dozens of broker emails every week, each with an Offering Memorandum, Rent Roll, and T-12 attached. Manually reading every document, checking it against the firm's buy-box criteria, and replying to brokers eats hours of analyst time each week — and slows down the response to genuinely good deals.
Scope
- Build a Gmail-triggered pipeline that watches the broker inbox and automatically saves attachments to Google Drive
- Parse OMs, Rent Rolls, and T-12 documents to extract key deal data (units, price, cap rate, occupancy, NOI, etc.)
- Detect and filter duplicate deals before processing
- Run each deal through an AI underwriting analysis against the firm's specific buy-box (unit count, vintage, market, cash-on-cash target)
- Score and classify every deal as Pass / Maybe / Kill
- Automatically create and update broker and property records in Airtable
- Draft an AI-generated broker reply appropriate to the outcome (missing docs, pass, follow-up questions)
- Alert the team on Slack with a full risk summary and recommended next action
- Built-in error handling and logging throughout the workflow
From broker email to underwritten deal — fully automated
The n8n workflow watches the broker inbox, extracts attachments, and parses every OM, Rent Roll, and T-12 into structured deal data. Claude then screens the deal against the firm's buy-box, scores it Pass / Maybe / Kill, logs it to Airtable, drafts a broker reply, and alerts the team on Slack with a full risk summary — no manual review required.
